Table for [First Name]'s birthday?
Your birthday month just got better
When to send it
| Timing | Best for | Watch out |
|---|---|---|
| 5–7 days ahead (recommended) | Gives the guest room to actually book. | Don't wait until the day — the good tables are gone. |
| On the day | Only "come in today" offers. | Needs a direct reservation link, or it does nothing. |
| All birthday month | The highest redemption rate. | Needs an expiry date, or it never gets used. |
The offer that works
A free dessert, a glass of something, a no-fee reservation, or double points for the birthday month — all low-cost and verifiable at the table. Do not send a discount code: it eats margin and retrains regulars to wait for coupons.
What to change before you send
The generator fills in the placeholders and hands you a complete email. What it cannot do is know your restaurant — so change these two things before you send:
1. The offer. "A slice on us" is a placeholder idea. Make it the thing you actually give: a dessert, a drink, a no-fee reservation, double points. Do not send a discount code.
2. The link. Every template has a reservation link. It must go to your reservation page, not your homepage.
Everything else — the subject line, the length, the sign-off — send as it is the first time. You are testing the template, not your copywriting.
Questions we actually get
When should I send a birthday email?
Five to seven days ahead is the sweet spot. It gives the guest room to actually book, and most birthday diners book a few days out rather than on the day. Sending it on the day only works for a "come in today" offer, and it needs a direct reservation link.
What should I offer instead of a discount?
A free dessert, a glass of something, a no-fee reservation, or double points for the birthday month. All of them are low-cost and verifiable at the table. A discount code eats margin and retrains your regulars to wait for coupons.
